Autobook Line ("we," "us") provides an AI voice dispatch service used by field-service businesses ("Customer") to answer calls, book appointments, and send confirmations. This policy explains what personal information passes through the Service, how it's used, and who it's shared with. Customer — the business using Autobook Line — is the data controller for its own callers' information; Autobook Line acts as Customer's data processor for that information, and as a controller only for information about Customer itself (e.g. billing contact details).
| Category | Examples | Source |
|---|---|---|
| Caller information | Name, phone number, service address, description of the issue, appointment window | Spoken during the call, captured by the AI voice agent |
| Call recordings & transcripts | Audio of the call, AI-generated transcript | Generated automatically during the call |
| Booking & dispatch data | Appointment status, reschedules, cancellations, dispatch log entries | Generated by the Service, stored in Customer's Google Sheet/Calendar |
| SMS message data | Confirmation, reschedule, and cancellation texts and their delivery status | Sent via Twilio on Customer's behalf |
| Customer account data | Business name, service area, hours, pricing, connected-account identifiers, billing contact | Provided by Customer during setup |
| Site usage data | Pages viewed, approximate location (from IP), device/browser type | Collected automatically by website analytics, if enabled — see Section 10 |
We do not sell personal information, and we do not use caller information to serve caller-targeted advertising.
Operating the Service requires sharing data with the infrastructure providers below, each acting as a processor under their own security and privacy commitments:
| Provider | Role | Data involved |
|---|---|---|
| Twilio | Telephony & SMS delivery | Phone numbers, call audio, SMS content |
| Retell AI (voice-AI model provider) | Speech-to-text, AI conversation logic, text-to-speech | Call audio, transcripts |
| Google (Calendar & Sheets) | Appointment storage & dispatch log, on Customer's own Google account | Caller name, address, phone, appointment details |
| Make.com | Workflow automation connecting the above services | Passes data between the above; does not independently retain it beyond what's needed to run the workflow |
We may also disclose information if required by law, subpoena, or court order, or to protect the rights, property, or safety of Autobook Line, our customers, or the public. If Autobook Line is involved in a merger, acquisition, or asset sale, data may be transferred as part of that transaction, subject to this policy.
Caller information and booking records are retained in Customer's own connected Google Sheet and Calendar for as long as Customer keeps them there — Customer controls deletion of that data directly in Google. Call recordings and transcripts are retained by Autobook Line and its voice-AI provider for a limited period (typically no more than [90 days — to be confirmed]) for quality review and dispute resolution, then deleted or anonymized, unless a longer period is needed to resolve an active dispute or comply with law.
We use reasonable administrative, technical, and physical safeguards designed to protect information processed by the Service, including encrypted transmission (TLS) and access controls limiting who can view call recordings and transcripts. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
Callers who receive a text message from the Service may reply STOP to opt out of future messages and HELP for assistance. A caller who wants a copy of, correction to, or deletion of their information should contact the business they called (Customer), who controls that data; Customer can reach us at gabi@autobookline.com to request deletion of related recordings or transcripts held by Autobook Line. Depending on where a caller is located, they may have additional rights (such as under the CCPA) to know, delete, or opt out of the sale of personal information — Autobook Line does not sell personal information, so no sale opt-out is applicable today.
The Service is intended for use by businesses and is not directed at children. We do not knowingly collect personal information from children under 13 (or the relevant age of digital consent in your jurisdiction). If you believe a child's information has been provided to the Service, contact us and we will delete it.
Autobook Line and its service providers may process and store data in the United States and other countries. Where personal information is transferred internationally, we rely on the transfer mechanisms and safeguards required under applicable law [e.g. Standard Contractual Clauses, where applicable — to be confirmed].
This website may use privacy-friendly analytics to understand aggregate traffic (e.g. which pages are visited), without using third-party advertising cookies or tracking individual visitors across other sites. If we enable such analytics, the provider and what it collects will be named here.
We may update this Privacy Policy from time to time. Material changes will be communicated to active customers by email at least 14 days before taking effect. The "Last updated" date at the top reflects the most recent revision.
Questions about this Privacy Policy, or requests relating to your information, can be sent to gabi@autobookline.com.
